Privacy policy

SUMMA is a DBA of VelaOne Enterprises LLC (New Jersey), based in Robbinsville, New Jersey (“SUMMA,” “we,” “us”). This policy explains how we handle personal information collected through summabrand.com, scheduling, calls, and email.

What we collect

When you book a call. Our scheduling tool, Calendly, collects your name, your email address, and your answer to one intake question about what you’d like to fix.

During the call. Calls run on Zoom. We plan to record and transcribe the call to prepare your recap. We’ll confirm your permission before starting. If you prefer not to, we’ll take manual notes instead.

When you email us. We keep the messages you send.

When you visit the site. Squarespace hosts our website. It processes technical information such as your IP address, browser and device type, pages visited, and approximate location. It also uses cookies to run the site and measure how it’s used. You can manage cookies in your browser settings. Blocking some cookies may affect how the site works.

Please don’t share patient, health, or private customer information on a call, in a form, or by email. We don’t need it for an intro call, and we aren’t set up to receive it.

How we use it

We use personal information to schedule and hold calls, prepare and send your recap, follow up on what we discussed, reply to your messages, run and protect the business, and understand and improve how the site is used. Some of our tools, including the AI notetaker, use AI to record, transcribe, or summarize information for these purposes. We do not train our own AI models on your personal information.

Who we share it with

We do not sell or rent your personal information. We share it only as needed with the providers that help us run the business:

  • Calendly (scheduling)

  • Zoom (calls)

  • Notion AI Meeting Notes (recording and transcription)

  • Squarespace (website hosting and analytics)

  • Google Workspace (email and files)

These providers may use their own subprocessors to deliver their services. We may also disclose information when the law requires it, or when it’s reasonably necessary to protect legal rights or investigate fraud or security issues.

How long we keep it

  • Call recordings and transcripts: we delete them once your recap is sent and no later than 90 days after the call.

  • Call notes, recaps, and emails: kept for up to 3 years after our last contact. If you become a client, we keep them longer where the engagement or legal and tax records require it.

  • Website usage data: kept according to the retention settings of the Squarespace features we use.

Your choices

You can ask to see, correct, or delete the personal information we hold about you by emailing info@summabrand.com. You can decline or stop recording and transcription at any time, and you can ask us to delete an existing recording and transcript. Declining recording never affects your call.

We respond within 30 days. We may need to confirm your identity first. If we have to keep something to meet a legal obligation, we’ll tell you what and why.

Children

This site is meant for adults doing business. We do not knowingly collect information from anyone under 18.

Changes

If we change this policy, we’ll update the date at the top of this page.
